Account numbers aren't required in accounting. However, they can make data entry easier if your accountant or bookkeeper uses them. You can set up your chart of accounts to show a number next to each account name, like this:
2000 Accounts Payable
2100 Payroll Tax
and so on.
You also have the option to show assigned numbers within a separate column, like this:
2000 | Accounts Payable
2100 | Payroll Tax
and so on.
To use account numbers:
- Click the Gear icon > Company Settings (or Account and Settings depending on what you see).
- Select Advanced > Chart of Accounts.
- Select the Enable account numbers checkbox.
This setting provides all users the ability to view and sort accounts numerically.
- (Optional) Select the Use account numbers checkbox.
This setting allows (only) you to use account numbers for reports and transactions.
- Click Save and then Done to close settings.
- Click the Gear icon > Chart of Accounts.
- Click the edit icon.
- Enter a unique number for each account in the Number column.
- Click Save.
